The Service Administrator – Trainee role is an excellent opportunity for someone looking to start or develop a career in service administration. The successful candidate will be supported and trained by the Service Office Manager to learn how to use the company’s SAP ERP system and carry out a wide range of administrative tasks that support the service team and customer operations.

This is a learning-focused role suited to an organised individual with good communication skills and a positive, team-oriented attitude.

Key Responsibilities

Administration and Systems

Learn how to use the SAP ERP system to support service operations.

Create customer quotations and sales orders under supervision.

Learn how to process FCU, CS, HMG, and HDA calibration orders accurately.

Customer and Communication Support

Answer incoming telephone calls in a professional and welcoming manner.

Take ownership of customer requests, ensuring queries are handled efficiently or passed to the appropriate team member.

Communicate clearly with customers via phone and email.

Service Team Support

Provide general administrative support to the Service Office Manager and wider service team.

Learn and follow internal processes and procedures.

Assist with day-to-day office tasks as required.

Person Specification

- Essential

Good communication skills, both verbal and written.

Good IT skills using Excel, Word, and Outlook.

Willingness to learn new systems and processes.

Strong team player with a positive attitude.

Desirable -

Previous experience working in an office environment.

Experience of sales administration or dealing with customers via phone and email.

Familiarity with ERP systems (SAP experience is beneficial but not essential as training will be provided).

Skills and Attributes -

Organised and attentive to detail.

Confident speaking with customers and colleagues.

Reliable and keen to learn.

Approachable and supportive team member.

Hours of Work:

The Service Administrator - Trainee will work 08:30 to 17:00 Monday to Thursday, and 08:30 to 16:00 Friday, 37.5 hours a week.

This role will be based at our Charlbury site.
